Cortland Library Board Minutes

Place: Cortland Community Library

March 18, 2009

Members present: Maxine Divine, Mary Benson, Carol Scidmore , Martha Carter and Harlan Hawkins. Absent: Chris Ferguson and John Francisco. Also present: Barb Coward.

Meeting called to order by Harlan Hawkins at 7:00 p.m.

February 18, 2009 minutes were read. DVD security system counter died so staff is counting heads. System will be repaired soon. Mary Benson made a motion to approve February 18 minutes. Martha Carter seconded the motion. Voice vote and all in favor. Minutes stand as approved.

February 2009 treasurer's report was reviewed. Harlan Hawkins made a motion to approve the expenditures of $24, 814.23 for February. Carol Scidmore seconded the motion. Roll call vote: Mary Benson-aye, Martha Carter-aye, Carol Scidmore-aye, Maxine Divine-aye, and Harlan Dawkins-aye. Motion carried.

The library director's report for February 2009 was presented. Discussion was held.

Tentative 2009-2010 Budget was presented. Discussion was held on staff insurance for IMRF employees. Barb Coward will investigate premium costs. Martha Carter made a motion to approve the tentative 2009-2010 Budget. Maxine Divine seconded the motion. Roll call vote: Mary Benson-aye, Martha Carter-aye, Carol Scidmore-aye, Maxine Divine-aye, and Harlan Hawkins-aye. Motion carried.

OLD BUSINESS:

Library planning / Fred Schlipf - No communication.

Hearing of Citizens - None.

Town Sign - Barb Coward is hopeful that the library will receive funds from DeKalb County Community Foundation grant for a digital sign.

Board Election - Chris Ferguson, Harlan Hawkins, Martha Carter. New library officers will be elected at the April meeting. Current officers asked to consider whether they want to continue serving as officers.

Summer Reading prizes and supplies are being stored in Barb Coward's garage. There is more work to be done on planning programs.

Dr. Seuss program was a success with 120 in attendance.

Planning for 25th Anniversary. The celebration will be held Friday, July 3, 2009 at the park shelter house from 10 a.m.-8:30 p.m. Mother Goose will come to read stories to young children. The band, Cavern Beat, has been scheduled to perform two sets at 6 p.m. and 7:30 p.m. Dough Bros. Pizza will sell pizza. Families could bring sack lunches if they want to stay all day. Drinks, cake, cookies, cupcakes, etc. will be provided. Barb Coward will look further into "event insurance" for the party.

Friends of Cortland Library will be selling cookbooks, baked goods, and plants during garage sale weekend, May 1-2, 2009.

Grants/LSTA -

-Computer lessons given to patrons at the library. Peggy Wogen (Malta) will write the grant for Malta, Cortland, Genoa and possibly a few other libraries. The grant will pay for teaching, books and software.

- Remedial reading grant for 3rd, 4th, 5th, 6th grade or audio books for elementary

NEW BUSINESS

Per Capita Grant check for $4,785.97 will arrive soon.

Barb Coward attended ON THE FRONT LINES conference. Barb presented a report on the meetings.

Programming ideas and costs were discussed.

Marketing / Publicity - Marketing is "people telling our story for us".

Policy and Procedures - Tabled.

Staff issues / concerns were discussed at a recent staff meeting. Barb Coward plans to schedule regular staff meetings.

Mary Benson made a motion to adjourn the meeting. Martha Carter seconded the motion. The meeting was adjourned at 8:17 p.m.
