Cortland Community Library Board

Present: Mary Benson, Martha Carter, Victoria Haier and Marie Kornischuk Also present: Barb Coward

Absent: John Francisco, Harlan Hawkins and Ryan Hilligoss

The meeting was called to order by Vice President Victoria Haier at 7:14 pm.

The minutes of April 13 were read and a typing error corrected. Mary Benson moved to approve the corrected minutes, seconded by Martha Carter. A voice vote was held and all approved.

The Treasurer’s Report and Expenditures were reviewed. Marie Kornischuk noted the yearly expense for our security gate. Victoria Haier asked if the cost of the gate was warranted.

Barb Coward gave her opinion that the gate and alarm were a theft deterrent, although an imperfect solution.

Victoria Haier moved to approve the Treasurer’s Report and Expenditures with Martha Carter seconding. Roll call vote was taken and all approved.

The Librarian’s Report was read and statistical comparisons were discussed. The Board noted that our library is open almost as often as libraries with million dollar budgets on our budget at the $230,000 level. The costs per checkout and number of checkouts per patron cards were noted.

There were no citizens present to comment.

Discussion of patron survey ideas was tabled in the absence of Ryan Hilligoss.

This summer Cortland Library will be modifying the State theme, “Read for the Win”, adding an undersea focus. Instead of purchasing pricey ILA reading logs, library staff have made up money saving “bingo” sheets to keep track of readers’ progress. Saving $200 is anticipated.

Victoria Haier suggested we look at one policy at each meeting. Board members discussed a policy to protect the library from false accusations of staff gleaning confidential information as they assist computer patrons. General discussion ensued. Barb Coward will bring this policy to the next meeting for approval.

John Francisco’s letter of resignation was read aloud by Victoria Haier. Mary Benson moved, and Marie Kornischuk seconded acceptance of this resignation. John has been an active Library Trustee for many years and his voice and ideas will be missed by the Board.

Barb Coward reported that she contacted Home Extension and will meet with Master Gardener Patrick Brennan on Friday, May 20th to discuss our Mary Aldis Memorial Garden and hopefully receive help in forming a planting plan from this butterfly garden expert.

Barb Coward stated that library staff know a patron interested in filling John Francisco’s now vacant Trustee position until the next election. Posting this opening was discussed. Marie Kornischuk moved to appoint Rich Bliss as Library Trustee, seconded by Mary Benson. All approved via voice vote. Barb Coward will invite him to the June meeting.

The Annual Report to the Town of Cortland is being prepared. Board members felt highlights of the past year should include Summer Fest, Crochet Group, Poke’ Club, and the addition of “Homework Help”.

The proposed “Revised Budget for 2016-2017” was reviewed and discussed. After discussion, Victoria Haier moved, and Martha Carter seconded approval of this budget revision. All approved by roll call vote.

Cortland Library has received a $500 Literacy Grant from Altrusa DeKalb/Sycamore and a

$1,500 Dollar General Summer Reading Grant. Both grants are for circulation materials.

Victoria Haier moved to adjourn. Second by Mary Benson and all voted in favor. The meeting adjourned at 8:17.
